How to choose a school management system (school ERP)
By GroverHQ · Updated
A school management system (often called a school ERP) replaces registers, spreadsheets and WhatsApp groups with one place for attendance, marks, fees and announcements. Most systems look similar in a demo. The differences show up months later, in how easy it is for teachers and parents to actually use, who owns your data, and what the yearly cost turns out to be. This guide is a checklist to compare vendors before you commit.
1. Start with your problems, not a feature list
Write down the three things that waste the most time today. For many schools it is daily attendance, collecting fees and chasing receipts, and getting notices to parents. A system that does those three well is worth more than one with fifty modules nobody opens.
2. The modules most schools need
- Attendance marked by teachers, visible to parents.
- Marks, results and report cards, with printable report cards.
- Fees and receipts: fee structure by class, online payment, pending dues and payment history.
- Circulars and announcements for parents and students.
- Timetable and homework.
- Staff attendance and leave, if you manage payroll inputs in-house.
Ask whether you can start with the basics and add modules later without rebuilding. A modular system lets a small school begin with attendance, marks and circulars, then add fees or report cards when ready.
3. Separate logins for students, parents, teachers and admin
Each role should see only what it needs. A teacher should see only the classes assigned to them. A parent should see only their own child. The admin creates and resets logins. Ask to see this in the demo, not just in the brochure.
4. Mobile access: installable web app or store app?
Parents will use their phones. There are two common routes. An installable web app (PWA) opens from the browser and can be added to the home screen, with no APK to download or update. A Play Store or App Store app gives a branded icon and native notifications, but costs more and must be published and maintained. For many schools a PWA is enough to start, and a store app can be added later. Ask which one you are getting and what a store app costs separately.
5. Data ownership and what happens if you stop paying
These are the questions vendors least like to answer clearly. Ask:
- Who owns the domain name? It should be registered in the school's name.
- Can you export your student and fee data in a standard format?
- What happens if you stop paying the yearly fee? Does the system go offline, and for how long are your backups kept?
- Who publishes the store app, if there is one, and what happens to it if you leave?
6. Privacy and security
A school holds children's data. India's Digital Personal Data Protection (DPDP) Act has specific requirements for children's personal data, so ask how the vendor handles access, consent and deletion. Basics to confirm: HTTPS everywhere, role-based access, regular backups, and no student data used for advertising.
7. Notifications and messaging
Browser or app push notifications are usually included. SMS, WhatsApp and OTP messages are different: they are sent through third-party providers who charge per message. Ask whether those charges are included or billed separately at actuals, so there is no surprise later.
8. Pricing structure
Compare like with like. Some vendors charge a one-time build fee plus a yearly maintenance fee. Others charge per student per year. Neither is automatically better, but you need the three-year total, not just the first-year number. Our separate guide on school management system cost in India explains the line items.
9. Setup, data entry and training
Someone has to enter your existing students, parents and teachers. Find out whether the vendor does it or your admin does, and whether there are step-by-step guides for each role. A system nobody has been trained on will not get used.
Questions to ask every vendor
- Can I see attendance, marks and fee flow live, as a teacher and as a parent?
- What is the total cost over three years, including yearly fees and message charges?
- Is it an installable web app or a store app, and who publishes it?
- Who owns the domain and the data, and how do I export it?
- What happens to my system if I stop paying maintenance?
- How are new modules added later, and what do they cost?
- How long does setup take, and who does the data entry?

Which modules does a school actually need?
Most schools need attendance, marks and report cards, fees and receipts, and circulars. Timetable, homework and staff attendance and leave are common additions. A modular system lets you start with the basics and add modules later without rebuilding.
Should the system be a web app or a Play Store app?
An installable web app (PWA) opens from the browser and can be added to the phone's home screen, with no APK to download or update. A Play Store or App Store app gives a branded icon and native notifications but costs more and has to be published and maintained. For many schools a web app is enough to start.
What should I ask about data ownership?
Ask who owns the domain name (it should be registered in the school's name), whether you can export student and fee data in a standard format, what happens if you stop paying the yearly fee, and who publishes the store app if there is one.
Do SMS and WhatsApp messages cost extra?
Usually yes. Browser or app push notifications are normally included, but SMS, WhatsApp and OTP messages go through third-party providers who charge per message. Ask whether those charges are included or billed at actuals.
