School management system cost in India: what you actually pay for
By GroverHQ · Updated
There is no single price for a school management system in India. Cost depends on how many modules you need, whether you want store apps, messaging and data entry, and how the vendor structures fees. This guide explains the line items so you can compare quotes properly. For a concrete example we use our own published prices at the end.
What drives the price
- Modules. Attendance and circulars cost less than a full suite with fees, exams, report cards, timetable, homework and staff leave.
- School size. Some vendors price by student count, others by a size band. Always ask which band your school falls in.
- Mobile apps. An installable web app (PWA) is usually cheaper than separate Android and iOS store apps, which also need publishing and upkeep.
- Website. A new school website is often a separate line item from the management system.
- Data setup. Entering your existing student, parent and teacher records is either done by your admin or quoted separately.
- Languages and customisation. Hindi or Punjabi interfaces, certificates and custom report-card templates are usually add-ons.
Two common pricing models
One-time build plus yearly maintenance. You pay for development once, then a smaller yearly fee for hosting, updates and support. Costs are predictable, and you can see the three-year total up front.
Per-student subscription. A recurring fee per student per year. This starts cheap for a small school but grows as admissions grow, and you never stop paying for the base system.
Neither is always better. Compare the total over three to five years for your actual student count.
Costs that are easy to miss
- SMS, WhatsApp and OTP messages. These go through third-party providers who charge per message. Ask whether they are included or billed at actuals.
- Payment gateway charges. Online fee collection through a gateway such as Razorpay carries the gateway's own charges, separate from the software price.
- Domain renewal. Typically around ₹1,000 per year, paid by the school if the domain is in its name.
- Year-two jump. Check whether the first year of hosting and maintenance is included, and what the yearly fee is from year two.
- Upgrade path. If you start small, ask what it costs to add modules later.
Example: GroverHQ School Management System prices
These are our published starting prices for schools of up to 1,000 students. The final quote depends on scope. The first year of hosting and maintenance is included, and the yearly fee starts from the second year.
- Core: from ₹50,000 one-time, then ₹12,000 per year from year 2.
- Standard: from ₹95,000 one-time, then ₹24,000 per year from year 2.
- Complete: from ₹1,40,000 one-time, then ₹32,000 per year from year 2.
Add-ons such as WhatsApp or SMS alerts, OTP login, certificates, Hindi or Punjabi interfaces and store apps are priced separately and listed on the add-on modules section of the School Management System page. Message charges from the provider are billed at actuals.
How to compare quotes
- List the modules you need and make every vendor quote the same list.
- Ask for the three-year total, including yearly fees.
- Ask what is not included, and who does data entry.
- Ask what happens to your system and data if you stop paying.

Frequently asked questions
How much does a school management system cost in India?
There is no single price. Cost depends on the modules you need, the size of the school, whether you want store apps and messaging, who does the data entry, and how the vendor structures fees. Ask every vendor to quote the same module list so the quotes can be compared.
Is a one-time fee or a per-student subscription better?
Neither is always better. A one-time build plus a yearly maintenance fee is predictable. A per-student subscription starts cheap but grows with admissions and never stops. Compare the total over three to five years for your actual student count.
What costs are easy to miss?
SMS, WhatsApp and OTP message charges, payment gateway charges for online fee collection, yearly domain renewal (typically around ₹1,000 if the domain is in the school's name), the yearly fee from year two, and the cost of adding modules later.
Are online fee payments free of charges?
No. Online fee collection through a payment gateway such as Razorpay carries the gateway's own charges, which are separate from the software price.
